A workspace is a flexible accounting entity to which a company can assign equipment, inventory and other assets. A workspace can represent a construction site, warehouse, office, crew, site cabin, vehicle or another place, organizational unit or area of responsibility. The key idea is that assets can belong to the workspace as a whole, rather than to one employee personally.

Responsibility for a workspace

Specific employees are assigned as responsible for each workspace. A workspace cannot confirm an operation itself, so confirmations are always performed by a real employee who is responsible for that workspace. A workspace can have more than one responsible employee. This supports shared responsibility while still recording exactly which employee performed each operation.

Assets assigned to a workspace

It is important to distinguish personal responsibility from workspace responsibility. Equipment may be assigned directly to an employee. Alternatively, it may be assigned to a warehouse workspace. In that case the equipment belongs to the warehouse in the accounting model, not personally to the warehouse employee who confirms receipt.

Transfers to a workspace

When transferring an asset, the company selects whether it goes to an employee or to a workspace. If it goes to a workspace, receipt is confirmed by an employee responsible for that workspace. Inventory+ preserves the context automatically: what was transferred, where it went, who confirmed receipt, and who is responsible for the workspace.

Automatic status changes

A workspace can define the status applied to equipment when it enters that workspace. For example, a warehouse can automatically set In storage, while a repair workspace can apply the appropriate repair status. This allows routine processes to be completed as one operation without requiring a separate manual status update.

Changing the responsible employee

When responsibility for a workspace changes, its assets do not need to be transferred again. The company assigns a new responsible employee; after confirmation, responsibility changes while the assets remain assigned to the same workspace. A workspace therefore links assets, responsible employees and operations while keeping each individual action attributable to a specific person.
